Planning is one of the necessary skills in both work and life if you want to handle work effectively, and systematically, increase initiative, and control as well as easily cope if faced with a difficult situation and deal with the risks. Planning is not only good for you personally but is especially useful in an environment where many other individuals and teams are involved.
There are many planning methods like S.M.A.R.T, PDCA… However, today TV TPI will share with you how to plan according to a new accounting method – 5W3H2C in detail and easily understand. Please discover what this method is interesting and different from other methods.
5W3H2C includes 5W (What – Why – Who – When – Where); 3H (How – How long – How much); 2C (Check – Control).
This method is implemented by answering the corresponding questions as follows:
– What: What exactly do you need/are going to do?
– Why: Why do you have to do this but not another or define the purpose why you want/must do this. The more specific your answers to this section are, the simpler the answers to the “How” questions will be.
– Who, When, Where: Determine the target audience of the plan, including who does/does with whom, when, and where to do it.
– How: How to do the mentioned work? Here you need to list in detail the items to be done, even describe the work to be done as clearly as possible or/and provide tools, documents, machinery, and equipment to support the implementation. Kindly take note that the more you “ignore your vigilance” or take it lightly or do it lightly, the more errors you will often encounter in that part of the implementation. In addition, the way of doing/implementing needs to be associated with the purpose and work set out, don’t go off-topic.
– How long, How much: How long will the plan/item, the work stated in the plan take place, and how much is the estimated cost for the plan/item, that work?
– Check, Control: Who performs the check, and check whether the details related to the stated item/work are successful or not (such as on-time, according to the job description or not). Who is responsible for controlling the entire plan from start to finish and ensuring that when the work cycle repeats the above process is still done well/accurately? In addition, control needs to be associated with measurement. For effective measurement and control, you need to address a few factors:
- What is the unit of measure for this task?
- What parameters reflect the question of whether this activity/how-to/implementation is effective?
- What issues/What needs to be controlled and monitored throughout?
After checking and controlling, what errors are discovered, from which to propose solutions to solve, update and improve to be more complete. The following is an example of work applying the 5W3H2C method:
